What a martial arts academy owner should have on record

The question that gets asked
When an incident happens at any youth activity, the questions that follow are rarely only about the incident itself. They tend to include what the organization knew, what it had trained its staff to do, and what standards it held itself to before anything happened. An owner's memory of good intentions does not answer these questions; a record does.
What a record looks like
- Dated proof that each coach was screened before they started teaching, not after.
- Certificates for abuse prevention, mandated reporter, and CPR and first aid training, each with its date and expiry.
- A written code of conduct that coaches and staff acknowledged, not just a policy that existed somewhere.
- A log of any concern raised, what was done about it, and when.
What the absence of a record looks like
No dates. No signed acknowledgment. Training that happened once, informally, with nothing kept on file. An owner who is confident the academy does things right but cannot produce anything that shows it. None of this means an academy is unsafe; it means that if the question is ever asked, there is nothing to hand over except an answer that has to be taken on trust.
