A program that screens people needs a privacy policy that actually describes it. This one covers the website first, then the program.

This website

No cookies, no analytics

This site sets no cookies and loads no analytics or tracking scripts. There is no cookie banner because there is nothing to consent to. If that changes, this policy will change first and say what was added.

Verify and directory lookups

Certificate lookups and directory searches run in your browser against a public list of certified academies. What you type is not sent to us and is not stored. The public list contains academy names, locations, certificate numbers, and dates. It never contains a person's name.

The enrollment form

If you request enrollment, we receive what you type: academy name, your name and role, email, phone, city and state, website, the number of coaches to certify, an approximate number of students who are minors, an optional affiliation, and an optional message. We use it to contact you about enrolling that academy and for nothing else. It is not added to a marketing list.

Server logs

The hosting provider keeps standard access logs (IP address, page requested, time, browser) for security and operations. We do not combine them with anything else.

The program

This section applies to coaches being certified and to people registering with a certified academy. It is being completed with counsel and will be final before the first academy is certified. The four questions it must answer are listed here so nothing is hidden in the meantime.

What registration data is collected

The identifying details a registry and public records search needs, taken from the registration or coach onboarding the person already completes. The exact fields will be listed here.

Who it is shared with

The search provider, Offendersearch, receives the details needed to run the search. Results are returned to the academy. Safe Academy 360 does not sell or share screening data with anyone else, and does not publish any individual's result.

What the search provider receives and retains

What Offendersearch receives, whether it retains any of it, and for how long, will be stated here once confirmed with the provider.

How long results are kept, and who can see them

Retention periods for search results, and which roles inside an academy can view them, will be stated here once confirmed.

How to ask what was found

If you were screened as part of registering with an academy or being certified as a coach, you can ask what the search returned about you. Write to support@rollpay.co with your name, the academy, and the approximate date. We will confirm your identity before answering. If a match was a mistake, tell us, and it will be reviewed by a person against the public record it linked to.

Your rights

Depending on where you live, you may have the right to access, correct, or delete personal information we hold about you, and to know how it is used. California residents have these rights under the California Consumer Privacy Act. To exercise any of them, use the contact below. We do not sell personal information.
