What happens when a screen returns a match
Most screens return nothing. When one returns a record, the next steps matter more than the screen did, because a match on a name is a question, not an answer. Here is the process, in order.
A match is a candidate
A screen compares a legal name and date of birth with public sex offender registries and state prison records. When a listing shares both, the screen returns it, with the basis for the match, the registry it came from, the date that registry was last checked, and a link to the public listing. Common names produce matches that are not the same person. The whole point of what follows is to find out.
Who is told
The academy's alert contact receives an email from Safe Academy 360 within minutes, and the academy's platform shows an open alert. The email says a screen returned a registry record with the same legal name and date of birth, that reviewers are comparing it with the person now, that nothing is decided until the review is complete, and that no one else has been told.
A coach sees on their own credentials page that a record shares their name and date of birth and is being checked, and that they can carry on with the rest of their credential. A member is not contacted at this stage. No one at the academy other than the alert contact is notified, and the academy chooses who that contact is.
What reviewers compare
Safe Academy 360 reviewers work through a fixed checklist before recording anything:
- The registry photo, compared with the person's identification
- The date of birth on the record, compared with the person's
- The registry page itself, opened to confirm the listing is current
- A call to the academy owner
Most matches are resolved within two business days. If the owner knows something that rules the match in or out, the alert says to call, and it counts.
The three outcomes
Not the same person. The review finds the record belongs to someone else. The screen is recorded as returning no matching records, the alert closes, and the person's record shows exactly what it would have shown without the match.
Identity confirmed. The record is this person. Safe Academy 360 records that and contacts the academy owner. For a coach, the screening item in their credential is not complete, and no coach certificate is issued while it stands.
Could not rule out. The reviewers cannot confirm or exclude the match from what is available. The alert says so and the academy follows up, usually by asking the person for identification.
Who decides
Safe Academy 360 decides one thing: whether the public record and the person are the same person. It does not decide whether someone may coach or train. That is the academy's decision, made by a person, after looking at the record, and the program makes no automatic decision of any kind.

If you were matched by mistake
If you registered with an academy or were added as a coach and believe a screen matched you to someone else's record, write to support@rollpay.co with your name, the academy, and the approximate date. Your identity is confirmed first, then a person reviews the match against the public record it linked to. The privacy policy sets this out.
What is never published
Nothing about an individual's screen appears anywhere public. Not in the directory, not on verify, not on a badge or certificate. That includes the fact that a screen returned nothing. Public surfaces show academy status and credential counts only.
Safe Academy 360 is also not a reporting channel. If you believe someone is in danger or a crime has occurred, contact local law enforcement. Concerns about an academy explains why the program has no role after the fact.
